How Does Managed Hospitality Services Support the Guest Stay?

Connecting guest room voice with the PMS allows routine hotel workflows to happen through the systems staff already use. From check-in through check-out, updates made in the PMS can trigger corresponding changes to the voice environment without requiring staff to manage them separately.

When the Guest Arrives

Check-in can activate the room extension, apply the appropriate calling permissions, and associate guest information with the room phone. If a guest changes rooms, those settings can move with them.

During the Stay

Wake-up calls, Do Not Disturb settings, housekeeping status, and supported guest Wi-Fi workflows can remain synchronized with the PMS. Staff continue working within familiar hotel processes while the voice environment updates in the background.

In an Emergency

Direct 911 dialing supports room-level dispatchable location and on-site notifications, so designated staff know a 911 call was placed and which room it came from.

At Check-Out

Call charges can post to the guest folio through the PMS integration, while check-out resets the extension and prepares it for the next guest.

What Does Implementation Look Like?

Implementation includes the site survey, PMS interface configuration, platform build, testing, training, and cutover.

A typical implementation takes approximately eight to ten weeks, depending on the property and integration requirements. Existing guest room handsets and cabling may be able to remain in place, with current equipment reviewed during the site survey.

If escalation to Jazzware is needed, it remains part of the same support process. If the issue originates in the PMS, the vendor receives the technical information needed to resolve it while the case remains open until the integration is working again.

No dedicated on-site IT team is required to operate the voice platform. Monitoring, ongoing support, and routine changes such as extension names and calling permissions are included as part of the service.

Back-office teams can use UCx for business voice on the same account, quoted alongside Managed Hospitality Services. This allows guest-facing and employee communications to be supported through the same provider relationship.
